STUDENT SERVICES

Accomodations

All students are unique. At EduOnline, we prioritize recognizing the needs of our students and designing online programs to respond effectively to those needs. Our self- paced model allows students to work at their own pace, ensuring they are able to take the time required to understand key concepts before progressing. Throughout our courses, we have incorporated the following accommodations:

  • Instruction is differentiated, providing learning materials via text, video, and interactive activities.
  • Where possible, assessments allow students flexibility in the medium or format they use to present their ideas. Students may choose to write a paper, give an oral presentation, or create a visual.
  • Students may also use their own assistive technologies that they have access to and are familiar with using.

English Language Learners

As the linguistic diversity of Ontario’s student population continues to increase, some students at EduOnline may require support in learning the English language and developing a full range of English literacy skills that will enable them to achieve the curriculum expectations in all subjects and at all grade levels.

The programs of study offered by EduOnline must be flexible in order to accommodate the needs of students who require instruction in English as a second language or English literacy development. Teachers of all subjects are responsible for helping students develop their abilities to use English.

Final Exams

EduOnline courses require that students write a closed-book final exam at the end of the course. This online exam must be written in the presence of an approved proctor. A proctor is an individual who meets with a student to witness the final exam being written and later attests that all procedures were properly followed. The date, time, place, and proctor for a student’s final exam are selected by the student but must be approved by the EduOnline Exams.

Students must choose one of two proctoring arrangements: in-person proctoring or online proctoring.

Option 1: In-Person Proctoring

The student may select a proctor to meet with in person for the purpose of invigilating the exam.

The student must apply to write the final exam a minimum of two weeks* prior to the proposed exam date by submitting a Proctor Approval Application to the EduOnline Exams Administrator.
In order to be approved, any in-person exam proctor must meet all of the following
criteria:

Must not be related to the student in any way
Must not be a student at any level of study
Must not be a tutor
Must have a university degree or college designation
Must be able to read and speak in the English language
Must have a valid, non-generic business email address provided by the proctor’s current place of work
If the proctor is approved, both the proctor and student will be provided with detailed exam instructions via email. The approved proctor and student may then proceed with the final exam as scheduled. Once the exam has been written, the proctor must sign the Proctor Memorandum provided by VHS indicating that all procedures were properly followed. This document must be returned to the VHS Exams Administrator promptly following the exam. A student’s final grade is not released until this document has been submitted.
If a student chooses a proctor who charges a fee for their services, the student is responsible for those or any other expenses.

* Have this reduced to one week by using a proctor from our Pre-Approved Proctors List.

Option 2: Online Proctoring

Students may use pre-approved, online proctoring service. This service is particularly helpful for students who are unable to find an in-person proctor or require last-minute exam arrangements. Although EduOnline strongly recommends scheduling at least two days in advance to allow for proper teacher communication.

The student will be emailed a list of detailed instructions for writing the exam with the online proctor.
For this proctoring option, students will be required to have:

A webcam
A microphone
A laptop or desktop computer
Government-issued photo ID
Upon completion of the exam, the student's exam video will be reviewed to verify that all procedures were properly followed.
Some fees may be applied payable by the student upon scheduling the exam. In addition to the fees below, there is a US$10.00 rush fee for exams scheduled within 24 hours of the chosen exam time.

Exam Length & Fee (USD)

1.5 hours           –            $24.00

2 hours              –            $24.00

2.5 hours           –            $31.00

3 hours              –            $31.00

Ontario Student Record (OSR) for the International Student

In Canada, the 10 provinces and three territories have jurisdiction over education. An Ontario Student Record (OSR) must exist for every student registered in a school in Ontario. In order for any student to take an online course with EduOnline, an OSR must either exist or be established. The OSR is a physical file folder containing all official school records for a student, such as transcripts, community service records, Ontario literacy records, report cards, IEPs, PLARs, and other important information pertaining to the student ½s education. EduOnline does not charge any fees to establish an OSR. In order to establish the OSR, EdunOnline requires that the student provide the following documentation:

  1. Identification

The student must forward a copy of their government-issued ID to EduOnline. Acceptable examples include passport, driver's licence, or birth certificate. Identification must be provided in the English or French language, or be accompanied by a notarised English translation. ID may be sent to EduOnline in one of the two following ways: (1) email addressed to the appropriate guidance coordinator, or (2) mail to
    EduOnline
    806-2000 Sheppard Ave West
    Toronto, Ontario
    Canada M3N 1A2

  2. Official International Transcripts

When taking a course that requires a prerequisite, EduOnline requires a copy of the student's official transcript to prove he or she has met the equivalent of the prerequisite course requirement. The student must forward his or her official transcript to EduOnline in one of the two following ways: (1) email addressed to the appropriate guidance coordinator, or (2) mail to
    EduOnline
    806-2000 Sheppard Ave West
    Toronto, Ontario
    Canada M3N 1A2
If the student’s transcript is not written in English, an English translation of the transcript along with the original must be submitted to EduOnline. Many issuing schools may be able to translate the transcript into English upon request.
    English Requirement
All courses at EduOnline are delivered in English. Proficiency in English is a requirement of all students who take courses with Virtual High School. Students may be required to complete the English Language Placement Assessment in order to determine their level of English language competency.

Ontario Secondary School Literacy Test

Students are required to meet the provincial literacy requirement in order to earn an Ontario Secondary School Diploma. Successful completion of the Ontario Secondary School Literacy Test (OSSLT) will satisfy this requirement. Students who have been eligible to write the OSSLT at least twice, and were unsuccessful at least once, are eligible to take the Ontario Secondary School Literacy Course to fulfill the literacy requirement.
To meet this requirement, and the associated provincial literacy standard, students must successfully complete the Ontario Secondary School Literacy Test (OSSLT). This test is scheduled and administered by the Education Quality and Accountability Office (EQAO) once each year, usually at the end of March or the beginning of April.
Students will usually take the OSSLT in Grade 10, unless a deferral is granted by the principal. Students who do not successfully complete the OSSLT will have the opportunity to retake the test in subsequent years. Once students have successfully completed the OSSLT, they may not retake it.
EduOnline can organize the test administration for students whose Ontario Student Record (OSR) is held at EduOnline. The test can be written at the EduOnline office in Toronto, Ontario, where students will be invigilated by a EduOnline staff member.
Students may also write the test at an alternative location.
The fee for writing the test at EduOnline is $199. The fee for writing the test at an alternative location is $499.
The Ontario Secondary School Literacy Course (OLC4O) is available at EduOnline, and interested students should contact the appropriate Guidance Coordinator at EduOnline to inquire about eligibility. More information on OLC4O may be found on the Ministry of Education website.
Please contact the appropriate guidance coordinator with any inquiries regarding the OSSLT.

Post Secondary Applications

If requested, EduOnline will communicate with students' post-secondary institutions and application services at three intervals: with a letter of enrolment, a midterm report, and a final report. To make such requests, students must complete and submit the Post- Secondary Institution Communication Request Form.

Ontario Universities' Application Centre

A student may have their OSR residing at another public, Catholic, or private school while being registered for one or more courses with EduOnline. This student will complete an Ontario Universities' Application Centre (OUAC) 101  application through their home school. EduOnline will require the student to provide us with their OUAC Reference Number (YYYY-######) in order for EduOnline course information to be sent to OUAC. EduOnline will send all required documentation directly to OUAC on behalf of the student. There may be fee associated with this service.
A student whose OSR resides at EduOnline, who is currently earning the OSSD, and who wishes to apply to universities through an OUAC account is considered a 101 applicant. This student may request that EduOnline establish a Personal Identification Number (PIN) for them. Once EduOnline creates the PIN, it is emailed to the student along with the required information and application instructions. The student then uses this information to log in and create a 101 Application with OUAC. Once the student has applied, all academic information from Grades 11 and 12 will be uploaded to OUAC. EduOnline can provide additional guidance to students regarding the application process if required.

The fee for this OUAC service is $180. Please note that this fee is separate from any fees that OUAC charges.

For students applying to post-secondary schools outside Ontario or students who are OUAC 105 applicants, EduOnline will communicate with up to three post secondary institutions at no charge with a letter of enrolment, midterm report, and a final report. If a student wishes for EduOnline to communicate with more than three institutions, a fee of $30 is applicable for each additional school.

Ontario College Application Service

A student who applies to colleges through ontariocolleges.ca will require that EduOnline update their account with any courses they are taking at EduOnline. The student must submit their Ontario College Application Service (OCAS) Application Number (YY-###- ####) or OCAS Account Number to the appropriate Guidance  Coordinator at EduOnline. EduOnline will update the student's account with a letter of enrolment, midterm grade, and final grade upon course completion. The student must add EduOnline to the academic information on their OCAS account so that we are able to update the account accordingly.

Please contact the appropriate guidance coordinator with any questions..

Reach Ahead

The Reach Ahead program is for elementary students who wish to take high school courses. The principal of the student’s elementary school, together with the principal of EduOnline and the student’s parent, will decide if it is appropriate for the student to enroll in high school courses. EduOnline adheres to all standard school practices in accommodating a Reach Ahead student by recording and granting achievement as necessary. Students are typically eligible for Reach Ahead during the Grade 8 school year or the summer before Grade 9, as outlined in the Ontario Schools: Policy and Program Requirements section 2.5.2.1.

Those wishing to participate in the Reach Ahead process may complete an enrolment request and return it by email to the appropriate guidance coordinator for review and approval. Approval from Guidance and the principal of EduOnline must be received prior to registration.

Student Records

There are four important documents that students should be aware of throughout their time in secondary school.

Ontario Secondary School Report Cards: Every student receives a midterm report and a final report in each course they take.

The Ontario Student Transcript: Every student has an ongoing transcript that records their progress towards earning the Ontario Secondary School Diploma.

The Ontario Secondary School Diploma: Each student who successfully meets the requirements will receive an Ontario Secondary School Diploma.

The Ontario Student Record: Every student has an Ontario Student Record that contains all relevant documentation from their elementary and high school education.

Student Support

Upon enrollment in a course at EduOnline, students are assigned a certified, highly skilled teacher. A student has the same teacher throughout the course and can communicate with them via the EduOnline email system. The teacher is available to answer questions, provide feedback, and grade assessments. The student’s EduOnline teacher should be the first point of contact for any questions or concerns about the course or course content. Visit the Teacher Spotlight sections of the EduOnline website to learn more about our teachers.
